Check-Ins and Services integration

With the Check-Ins and Services integration, your scheduled volunteers can quickly check in at a station or with the Church Center app! 

Connect Check-Ins events to Services plans by:

  • Enabling the integration on the Settings tab of your Check-Ins event.

  • Making sure the Check-Ins event session date and time match the Services plan date and time. 

  • Making sure the Check-Ins event location names match the Services plan team or position names.

When a scheduled person checks in, the integration will trigger attendance in both Services and Check-Ins.

Enable the integration

Follow these steps to enable the integration between Check-Ins and Services:

  1. Select Events from the top navigation in Check-Ins.

  2. Select the event you're working with.

  3. Select the Settings tab.

  4. In the Event Settings section, scroll down to the Services Integration and check the box to Enable Services integration.

Check in scheduled volunteers

Once the integration is enabled, anyone scheduled in Services who checks in will be automatically marked as a Volunteer check-in type if they check in at the same time as their scheduled plan. 

Volunteers will have a different experience based on whether or not there is a location in the Check-Ins event that matches their scheduled team or position in Services.

Church Center app

The volunteer is pre-checked into that matching location as the Volunteer check-in type. 

If Allow Complete Check-In is enabled, they will be checked in without needing to scan a QR code at the station.

The volunteer can pre-check into a location they match the filters for as a Regular check-in type. 

If Allow Complete Check-In is enabled, they can checked in without scanning at a station, to any location they fit the filters for as a Regular check-in type. 

Manned station

The matching location is suggested, and they are automatically set as the Volunteer check-in type. 

The volunteer is automatically set as the Volunteer check-in type, and Check-Ins suggests the last location where they volunteered. The correct location can be manually selected.

Self station

The matching location is suggested, and they are automatically set as the Volunteer check-in type. 

The volunteer sees No Locations Available and must be checked in at a manned station. 

Classroom roster

The volunteer will show on the Ready tab, and they are automatically set as the Volunteer check-in type.

The volunteer doesn't show on the Ready tab unless they've previously volunteered in that classroom within the timeframe set by the roster settings.

Search for them outside of the roster to check them in, and they will be automatically set as the Volunteer check-in type.

Important

The Services integration is not required to check in volunteers, and removing someone from the schedule may or may not affect their experience at the station. For more information about checking in volunteers without scheduling them in Services, review this guide: Check In a Volunteer

To verify if the Services integration was used in a particular instance, look for the Services logo in the check-in details.

View Check-Ins in Services

When people check in through Check-Ins or are marked as attended in Services, a checkmark appears next to the team member in the Services plan. You can hover over the checkmark to see which time they attended.

Checkmarks are color-coded for each day of the week, like in the main times section, so it’s easier to tell the difference between multiple events, like Wednesday night choir rehearsal attendance and Sunday morning attendance.

View people who didn't check in

After the event, use the Services CHECK-INS: Absent People report to see who did not check in but was confirmed on the schedule.

Troubleshooting

If the Services integration is not working with Check-Ins as expected, check the sections below to learn how to test and what to look for to get things back on track.

Test the integration

Test the integration between the Services plan and Check-Ins event by using a manned station. You can switch station types directly from a station using station keys.

Follow these steps to test:

  1. On your manned station, select the correct Check-Ins event.

  2. Search for and select the volunteer's name.

  3. Confirm that they're marked as a Volunteer check-in type and that the time and location match the Services plan time and team or position name.

  4. If everything looks good, tap Check in 1 person.

  5. In Services, double-check that the scheduled person has a checkmark next to their name in the corresponding plan.

Confirm that your volunteer's assigned times in the Services plan exactly match the event time in Check-Ins.
